GDPR and data: what we store, and where
Your customers call and write with personal information. Here, in plain language, is what Dialogbot does with it.
- You are the data controller – Dialogbot is your data processor
- The database is located in the EU
- A data processing agreement is part of the terms
- Calls can be transcribed to text
- Dialogbot honestly says that it is an AI
- If you cancel, you can get a copy of your data, and then we delete it
Who is responsible for what?
This is a translation. The Danish version is legally binding.
You are the data controller for your customers' information. Dialogbot is the data processor and only processes the information on your instructions. This also applies if your customers are patients, clients or private individuals.
What do we store?
- Phone number, name and the content of the message when someone calls or writes to you
- A transcript of the conversation – calls can be transcribed to text
- Bookings and SMS confirmations
- The summary of each enquiry that you receive from Dialogbot
- The knowledge and prices you have approved for the assistant yourselves
Where is the data kept?
The database is located in the EU (Ireland), and the server in the EU (Frankfurt). Telephony, speech and AI run with subcontractors, and some of them may process data in the USA. This takes place on the basis of the EU-U.S. Data Privacy Framework or the European Commission's standard contractual clauses. The full list of sub-processors is in the privacy policy.
Data processing agreement
Our data processing agreement is part of the terms, so you don't need to ask for a separate one. Write to info@dialogbot.dk if you need a signed copy for your own documentation.
What does the assistant tell your customers?
Dialogbot honestly says that it is a digital assistant if the customer asks, and it states this in the conversation. It only answers from knowledge you have approved yourselves.
When you cancel
Your data belongs to you. Within 30 days of cancellation you can ask for a copy. After that we delete it, unless the law requires us to keep it – e.g. invoices for 5 years.
Questions or access requests
If one of your customers wants access to or deletion of their information, we help you respond. Write to info@dialogbot.dk. Customers can also complain to Datatilsynet (the Danish Data Protection Agency).
